These terms apply to all bookings for The Hale Clinic Art Therapy Retreat. By paying your deposit, you confirm that you have read, understood, and agree to these terms. Please read them carefully before booking.
All correspondence regarding bookings, cancellations, and transfers must be made in writing to Bookings@haleclinic.com.
1. BOOKING & PAYMENT
A non-refundable deposit of £250 per person secures your place. Places are limited to twenty-five attendees and are allocated on a first-come, first-served basis. Your booking is confirmed once the deposit has been received and acknowledged by The Hale Clinic.
The balance of the retreat fee is due sixty days before the retreat start date (15 July 2026). If the balance is not received by the due date, The Hale Clinic reserves the right to cancel your booking, and the deposit will not be refunded.
If you book within sixty days of the retreat start date, full payment is required at the time of booking.
Retreat fees:
- Double or twin room (shared): £1,950 per person
- Single room: £2,650 per person
All prices are per person and include seven nights’ accommodation, all meals, workshop sessions, meditations, and group transfer from Bilbao. Flights, travel insurance, and personal expenses are not included.
2. CANCELLATION BY THE GUEST
All cancellations must be made in writing to Bookings@haleclinic.com. The date of receipt of your written notice will be treated as the cancellation date. The following charges apply:
- More than 60 days before the retreat start date: deposit forfeited; any balance paid will be refunded.
- 30–60 days before the retreat start date: 50% of the total fee is retained.
- 14–30 days before the retreat start date: 75% of the total fee is retained.
- Fewer than 14 days before the retreat start date, or failure to attend: 100% of the total fee is retained.
We strongly recommend that you take out comprehensive travel insurance that covers cancellation, as this may allow you to reclaim cancellation charges from your insurer.
3. TRANSFERS & SUBSTITUTIONS
Subject to availability, you may transfer your booking to another person, provided the request is made in writing at least thirty days before the retreat start date. The replacement guest must satisfy any applicable requirements and accept these terms in full. A £50 administration fee applies per transfer.
Transfers to a future retreat are not available unless explicitly offered by The Hale Clinic.
4. CANCELLATION OR CHANGES BY THE HALE CLINIC
The Hale Clinic reserves the right to make reasonable changes to the retreat programme, facilitators, accommodation, or schedule. We will notify you of any significant changes as soon as practicable.
If The Hale Clinic is obliged to cancel the retreat for any reason other than force majeure, you will be offered a full refund of all monies paid.
5. FORCE MAJEURE
The Hale Clinic shall not be liable for any cancellation, delay, or change to the retreat caused by circumstances beyond reasonable control, including but not limited to: natural disasters, severe weather, pandemic or epidemic, war or civil unrest, government action or travel restrictions, transport disruption, or the insolvency of a third-party supplier.
In such circumstances, The Hale Clinic will make reasonable efforts to offer an alternative arrangement or a partial refund, but shall not be liable for any additional costs, losses, or expenses you may incur.
We strongly recommend comprehensive travel insurance to protect against losses arising from force majeure events.
6. INSURANCE
It is your responsibility to arrange adequate travel insurance for the duration of the retreat. Your policy should cover, at minimum: cancellation and curtailment, medical expenses and repatriation, personal liability, loss or damage to personal belongings, and travel delay or disruption.
The Hale Clinic does not provide or arrange insurance on your behalf and accepts no liability for any costs arising from inadequate or absent cover.
7. HEALTH & WELLBEING
The retreat includes physical activities such as dynamic meditation, Kundalini meditation, and painting workshops. You are responsible for assessing your own fitness to participate. If you have any medical condition or concern that may affect your participation, we encourage you to consult your GP before booking.
Participation in all retreat activities is voluntary. The Hale Clinic and its facilitators accept no liability for any injury, illness, or adverse reaction arising from your participation in retreat activities, except to the extent that such liability cannot be excluded by law.
The retreat does not constitute medical treatment, psychotherapy, or a substitute for professional healthcare.
8. PHOTOGRAPHY & IMAGE CONSENT
Photographs and video may be taken during the retreat for use by The Hale Clinic in promotional materials, on its website, and on social media. By attending the retreat, you consent to the use of your image for these purposes unless you notify us in writing before the retreat start date that you wish to be excluded.
We will make reasonable efforts to respect opt-out requests, but cannot guarantee that your image will not appear incidentally in group photographs.
9. LIABILITY
The Hale Clinic acts as the organiser of the retreat programme. Accommodation, meals, and venue facilities are provided by Amalurra EcoHotel. The Hale Clinic accepts no liability for any act or omission of the venue, its staff, or any third-party supplier.
The Hale Clinic’s total liability to you in connection with the retreat shall not exceed the total fee you have paid for the retreat.
The Hale Clinic is not responsible for loss of or damage to your personal property during the retreat.
10. GOVERNING LAW
These terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
